A day in the life of a recruiter may feel like a tornado sometimes: calls, follow-ups, reporting on project advancements to various stakeholders, ever-changing priorities, etc.
Thus, there is a need to be as agile as possible. I love Kanban boards to keep my thoughts organized and to always have a visual clue where my focus should go.
It helps to have a bigger picture, while still managing the workflow. I’ve been trying different project management tools, but I wasn’t consistent with any until I discovered Notion.

Notion is an all-in-one workspace: it allows you to take notes, add tasks, create dashboards and much more. Imagine that you have the ability to create a wiki for any project at hand: any word on a page can be subsequently branched out into a new page/board/working sheet. Moreover, you don’t need to overthink the flow of how your information will be organized: you can change everything as you go and add additional structure to your notes.
Thus, one of its functionalities I’d like to spotlight is the ability to create Kanban boards.
Setting up your Kanban board
Let’s have a basic representation of the board with three main clusters of activities: “To Do”, “In progress”, and “Done”.
- Open notion.so and register your account. And yes, it’s free with certain limitations.
- Go to the main menu and select “Add a page”
- Hit “/” to prompt the drop-down menu and choose “Board view” from the database options:

Customize your board
Now you can play around to customize your board. In several clicks it may look like this:

My preferred use case of this board is a visualization of the requisitions I am working on. Apart from changing task status, you can drag-and-drop them re-organizing or sorting the tasks based on your ad hoc priorities.
In addition, the beauty of Notion is that you can have as many Kanban boards as you may need and organize them under one dashboard. Here is some dashboard inspiration.
Moreover, each task can be linked with any page inside Notion or external resources. For example, you can link your Google docs.
